Terms of Service
The customer acknowledges the following terms and conditions upon which VIP Fan Experiences, LLC has provided goods and services in furtherance of the tour or travel arrangements of the customer on a non-refundable basis.
GENERAL TERMS AND CONDITIONS:
1. VIP Fan Experiences, LLC takes no responsibility for any acts or omissions of any supplier of goods and services such as hotels, motorcoach, event tickets or other entity providing services to the customer. The customer hereby waives any claim for personal injury, (including death), property damage, (including loss of or damage to luggage or other personal property), or any other loss or claim, arising in whole or part by any act or omission of any entity, its agents, servants or employees, not solely, exclusively and directly under the control of VIP Fan Experiences, LLC.
2. The customer acknowledges that tour itineraries, accommodations, travel arrangements and other aspects of a tour must at times be modified or cancelled due to acts of God, unavailability of accommodations or other causes beyond the reasonable control of VIP Fan Experiences, LLC.
3. The customer acknowledges that the price quoted for any tour or travel arrangements is based upon prices provided for accommodations, transportation, tickets and other components. Should any prices for such components increase prior to the completion of a booking, VIP Fan Experiences, LLC reserves the right and the customer acknowledges the right of VIP Fan Experiences, LLC. to increase the tour and travel arrangement quoted price in the amount of any such increase in price.
Any customer given notice of increased cost shall have the right to terminate the reservation and obtain a full refund of all amounts paid to VIP Fan Experiences, LLC unless such payment was expressly made on a non-refundable basis (such as non-refundable hotel rooms and tickets secured from a secondary source). VIP Fan Experiences, LLC cannot take responsibility if a client has booked a non-refundable airfare, tour component, hotel reservation, or other custom arrangement payable in full at the time of booking. The payment of any invoice or acceptance of tickets, intineraries, vouchers, or other documentation of tour or travel arrangements shall be deemed to be acceptance of the above General Information, Terms and Conditions by the customer.
4. The customer acknowledges VIP Fan Experiences, LLC’s right to use any photographs for promotional material unless VIP Fan Experiences, LLC receives written notification of the customer’s declination.
Our programs offer a variety of luxury, upper moderate and moderate accommodations. The luxury hotels are four and five star names such as (but not limited to) Omni, Westin, Marriott, Hyatt and Sheraton. The upper moderate option features hotels such as Hilton Garden Inn, Holiday Inn Express, Hampton Inn, Fairfield Inn and Hyatt Place. The moderate category includes (but is not limited to) Holiday Inn, Best Western, Clarion, Days Inn, La Quinta or similar properties. The customer acknowledges that VIP Fan Experiences, LLC is booking a custom vacation for the customer, and VIP Fan Experiences, LLC can make no guarantee as to the exact brand or name of hotel that will be available. VIP Fan Experiences will inquire with the customer as to his or her preference for “luxury,” “upper moderate” or “moderate” accommodation.
Most hotels expect departing guests to vacate rooms by 12:00 p.m. and arriving guests to check-in after 3:00 p.m. to allow for maid service. If you have an early arrival or late departure, the front desk staff may assist in storing your bags until check-in time or your departure.
Special Requests: Requests for a specific number of beds in a room, rollaway beds, connecting/adjoining rooms, and smoking/non-smoking preferences, as well as any requests noted are considered Special Requests. These Special Requests are not guaranteed and will be honored pending availability at check in, although all reasonable attempts will be made to reserve a room with a specific number of beds. VIP Fan Experiences, LLC cannot be responsible for Special Requests not being available; however, we will indeed exercise our best efforts to accommodate your requests with our suppliers. Due to fire laws in New York City as well as other metropolitan cities, some hotels will not provide rollaway beds.
Non-Smoking Rooms: Hotels now have a “No Tolerance” policy for someone smoking in a non smoking room. This policy carries with it a financial penalty for any violation. Please be aware that you will be personally responsible for any such penalties, should they occur.
VIP Fan Experiences, LLC obtains the best available tickets to each game or event we book based on the seating preference of the customer. Typically, seats are categorized as follows:
football: (“lower sideline – between the goal lines;” “lower end zone – corners to goal line;” “upper end zone – corners to goal line,” “upper sideline – between the goal lines” and “club”;
baseball: “lower infield – between the edges of the infield dirt;” “upper infield – between the edges of the infield dirt;” “lower outfield – numbered seats from the edge of the outfield grass to the opposite edge;” “upper outfield – numbered seats from the edge of the outfield grass to the opposite edge”;” “bleacher – outfield seating that is either general admission or designated as ‘bleacher'” and “club.”
arena sports: “lower sideline – between the goals;” “upper sideline – between the goals;” “Lower end – behind the goal area and in corners; “upper end – behind the goal area and in corners;” and “club.”
All tickets are pending availability, and we must remind you that venues differ in shape and size, so the above are only general guidelines to which the consumer agrees to abide when selecting a ticket category for a package.
VIP Fan Experiences, LLC will distribute all tickets prior to each game. Delivery is often subject to the release of tickets to a season ticket holder from the team. Teams are also often delivering tickets electronically a matter of days or even hours before the event. Please be prepared to print tickets prior to departing for the venue, even a short time before. Once purchased by VIPFE from a season ticket holder or third party, tickets are not refundable or exchangeable.
VIP Fan Experiences, LLC is not responsible for lost, stolen or damaged tickets. Some major sporting event tickets will be issued on site, the day of the event. Tickets are generally issued in pairs, odd numbers cannot be guaranteed. Sections, rows and seat numbers cannot always be confirmed until day of event.
Third party travel insurance is strongly suggested, as tickets are non refundable (ask us for information). Please note: Rainouts are not covered by most insurance policies.
Ticket Guarantee: VIP Fan Experiences guarantees that all tickets provided to its clients are authentic, and delivery is guaranteed by the date of the event. VIP Fan Experiences expressly disclaims liability in the event of shipper error, and relies solely on tracking information provided by the carrier. All risks of loss are borne by buyer at the point of shipping and VIP Fan Experiences will provide tracking information at Buyer’s request. If you are denied entry to the venue please contact us immediately via phone at (800) 281-3276 and we will attempt to secure replacement tickets for you. If we are unable to fulfill our ticket guarantee you will be refunded the full amount of the ticket price, less any applicable taxes and fees (although you will be refunded the service fee on the ticket cost).
Rain Outs: If an event is rained out, cancelled or postponed beyond our control for any reason (weather or otherwise), whether by a venue, team, league, event provider or other party, ticket(s) will be applicable for the rescheduled dates (if any). VIP Fan Experiences, LLC is not responsible for modifying travel arrangements. VIP Fan Experiences, LLC will provide refunds only to the extent that refunds are available. Buyer assumes sole responsibility for the resale of tickets if an event is rescheduled on a date on which buyer is unable to attend.
Travel To and From Home: Since our travelers are from around the world, airfare to the starting city and from the ending city is not included in packages offered by VIP Fan Experiences, LLC. We reserve the right to agree to make airline or train travel arrangements for our clients in special circumstances.
Arrival: Your final documents will include the available transfer options/costs to your hotel on the first day. If you would prefer a car rental please ask us for details.
Extra Innings/Overtime: VIP Fan Experiences, LLC takes no responsibility for providing tickets to an event that goes to either extra innings or extra time and that extra play causes the customer to miss his or her departing flight. It is solely at the customer’s discretion whether to remain at the venue until the conclusion of the event.
For all programs that conclude at the hotel after the event or game, travel arrangements for the following departure day can be scheduled at your convenience and airport transfers will be each traveler’s responsibility.
Car Rentals: The customer is responsible for paying the cost of his or her rental car at the rental car desk. VIP Fan Experiences LLC only makes reservations on behalf of clients. It does not and cannot prepay for rental cars. Further, items such as insurance, gasoline, upgrades from your reserved car type, additional drivers, or additional equipment are not included. Your credit card will be charged for any of those additional inclusions by the rental company upon the return of the vehicle or at the time you take possession of the vehicle.
Canada: When traveling to and from Canada, U.S. citizens must have a current passport. Those traveling from other countries must present a valid passport and other documents as needed (visas or alien cards).
All of your necessary trip information and final documents will be emailed to you as soon as possible. Our staff is available by phone for any questions.
DEPOSIT AND BALANCE:
Full payment of all non-refundable items (including but not limited to event tickets, non-refundable hotel rates, transportation, reservations, and other entertainment) as well as VIP Fan Experiences, LLC’s twenty percent (20%) service charge (and any applicable taxes) is required prior to VIP Fan Experiences, LLC securing these items and/or reservations.
VIP Fan Experiences, LLC is happy to assist in making changes to your trip whenever possible. Whether it is a Baseball Road Trip, Major Sporting Event or Independent Travel Program, all changes are based on availability. At the time the change is made, a $25 administrative fee will be required to make revisions, in addition to any additional costs and fees that may apply for additional or different items. Please be advised that trips are booked on a non-refundable basis, and any changes or modifications made are not guaranteed, and will only be made to the extent a room is made cancelable or we are able to re-sell tickets purchased for a customer at their request. In the event this cannot happen VIPFE takes no responsibility for loss and customer agrees that hotel room occupancy and tickets are their sole responsibility.
CUSTOMIZED TRAVEL AND WEEKEND PROGRAMS DEPOSIT AND BALANCE:
Payment for any Non-refundable items is required in full iat the time of booking.
CANCELLATION OF MAJOR SPORTING EVENTS, CUSTOMIZED FLEXIBLE INDEPENDENT TRAVEL AND WEEKEND PROGRAMS:
All payment components for sporting events are non-refundable at the time of booking. No refunds will be given for unused portions of a program. In the event of a cancellation or postponement, VIP Fan Experiences, LLC shall not be responsible for accommodations and transportation prior to and beyond the original scheduled date of the event nor will VIP Fan Experiences LLC be responsible for refund or resale of tickets if an event is canceled due to weather or other circumstnances.
As stated above, third party optional insurance is available for coverage upon request and is recommended.
All payments can be made by credit card only through our preferred payment processor.
